Church Office Administrator

Position Summary

The Church Office Administrator serves as a primary point of contact for First Christian Church. This person helps ensure that important information is communicated effectively, church members are cared for well, and church facilities and events are coordinated efficiently.

The ideal candidate is organized, personable, detail-oriented, and able to handle sensitive information with discretion. This individual will regularly interact with church members, visitors, staff, volunteers, and community organizations while helping maintain clear communication and smooth day-to-day operations.

Primary Responsibilities
Care and Communication
  • Serve as the first point of contact for phone calls, emails, office visitors, and general inquiries.

  • Receive and relay time-sensitive information to pastoral staff, including hospitalizations, deaths, prayer requests, emergencies, and other significant care needs.

  • Communicate with church members, visitors, and community contacts with compassion and professionalism while handling personal, pastoral, and ministry-related information with appropriate confidentiality.

  • Prepare and maintain recurring church communications such as the prayer list, newsletter, announcements, and other updates as assigned.

Staff Support and Coordination
  • Communicate important information to staff members promptly.

  • Help coordinate schedules, appointments, meetings, and ministry events.

  • Support staff with administrative and organizational tasks.

  • Assist in maintaining church records and office systems.

Building Use and Event Coordination
  • Manage the church calendar and facility scheduling.

  • Coordinate building usage for church ministries, weddings, funerals, community groups, and special events.

  • Ensure facilities are scheduled appropriately and that conflicts are avoided.

  • Communicate building-use details to staff, ministry leaders, and external organizations.

Office Administration
  • Open and maintain the church office during scheduled hours.

  • Answer phones, process mail, and respond to general correspondence.

  • Maintain office supplies and equipment.

  • Assist with document preparation, forms, reports, and other administrative projects as assigned.

Work hours
  • The church office is open Monday through Friday from 8:00 AM to 3:00 PM.

  • This position will typically follow office hours, with occasional flexibility required for church events, funerals, meetings, or other ministry needs.

Qualifications
Required
  • Baptized follower of Jesus Christ who supports the mission and values of First Christian Church.

  • Strong interpersonal and communication skills.

  • Excellent organizational skills and attention to detail.

  • Ability to handle confidential information with discretion and professionalism.

  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, etc.).

  • Willing and able to learn church management software, communication tools, phone systems, and other ministry-related platforms.

  • Ability to prioritize multiple responsibilities and respond appropriately to urgent situations.

  • Dependable, flexible, and self-motivated.

Preferred
  • Previous administrative, secretarial, or office management experience.

  • Experience coordinating schedules, events, or facility usage.

  • Familiarity with church operations and ministry environments.

  • Experience improving organizational systems and processes.

  • Calm under pressure and able to respond appropriately to changing circumstances.

  • Exercises strong judgment in prioritizing and directing questions, concerns, requests, and urgent needs, including knowing when pastoral staff should be involved immediately.

  • Organized and proactive in communication and follow-through.

  • Committed to serving others with excellence and Christlike character.
