At First Christian Church, our secretary helps keep our church operations running efficiently, and we currently need someone to take on this challenging role. We are seeking an exceptionally detail-oriented and personable secretary to work full-time in our fast-paced office. The ideal candidate will bring resourcefulness, organization, and effective communication skills. This person should have experience working in an office, supporting co-workers, church members, and community organizations in various administrative tasks. With a knack for keeping cool under pressure and juggling complex schedules and projects, the secretary will be relied on to help grow our church.

Objectives of this role

  • Ensure successful workflows, schedules, communications, and office environment daily

  • Perform a variety of clerical duties, such as answering phones, responding to calls or messages, and emails

  • Determine which issues/concerns require immediate attention, and communicate to leadership any deviations from standard operating procedures


  • Open the office daily, answer and redirect phone calls, and manage email, regular mail, shipments, photocopying, etc.

  • Greet and welcome visitors in a friendly and professional manner

  • Prepare letters, reports, newsletters, financial data, meeting minutes, forms, and similar material; review materials for accuracy and formatting

  • Assist staff members with coordination of schedules, appointments, daily operational tasks, etc.

  • Schedule appointments and maintain calendars for staff members

  • Coordinate meetings and events, including room reservations and catering arrangements

  • Oversee office equipment and supplies, and initiate requisitions to replenish inventory

Required skills and qualifications

  • Baptized follower of Jesus Christ

  • Proven success in a secretarial role

  • Proficient in using Google Suite

  • Proficient in using videography tools to record decisions during invitation

  • Familiarity with calendar management tools for scheduling appointments

  • Strong organizational skills with the ability to prioritize tasks effectively

  • Experience with proofreading documents for accuracy and clarity

  • Exceptional written and verbal communication skills

  • Knowledge of event planning processes is a plus

Preferred skills and qualifications

  • Maintain confidentiality with all office information

  • Flexibility and dependability

  • Experience in an administrative assistant role

  • Social media ability is preferred, but not required

  • Ability to effectively handle budgets and expenses

  • Experience in refining and developing processes

  • Strong attention to detail to ensure accuracy in all tasks performed

  • Excellent phone etiquette with the ability to handle a wide variety of inquiries professionally
